  5. How do we store your data?

It is important that your data is stored securely and retained for an appropriate duration.
    1. Data Security

Our company securely stores your data on servers located within OVH data centres in France, Canada, the United States and Singapore. OVH implements stringent physical security measures which are outlined at https://www.ovh.com/world/us/about-us/security.xml. Technical measures in place to protect your data include the use of full disk encryption, to protect your data in the event of unauthorised access to the physical storage media.

We replicate your data to multiple locations within and outwith the EU to further ensure that your data remains available, and to improve the performance of our website and services for you, regardless of your location on the planet.

Regardless of the physical location in which we store your data, your data is handled in accordance with this privacy policy, and Evolution Host Ltd remains the sole Data Controller of your Personal Data.

The appropriate computer security measures have been put in place to prevent your data from being accidentally lost, used, altered, disclosed or accessed in an unauthorised way. In addition, we limit access to your Personal Data to employees who have a business need to know. They will only process your Personal Data on our instructions and they are subject to a duty of confidentiality.

Transport layer security (TLS) is used to protect the internet traffic which is sent between your web browser and our servers, including any information which you submit to our web servers. Secure Sockets Layer (SSL) is deprecated and was replaced with TLS. When supported by your web browser, we use strong TLS ciphers, HTTP Strict Transport Security (HSTS) and forward secrecy to further protect your information in transit over the internet.

We have implemented the appropriate data security measures for in-storage data. Your password will be securely hashed and salted with a one-way cryptographic hashing algorithm. We regularly review and change our use of encryption algorithms based upon changes to the level of security offered by any given algorithm which may arise due to the discovery of new flaws in an algorithm, or advancements in the hardware, software and techniques used to crack hashed passwords.

Unfortunately, it is not possible to guarantee the security of your data even when the appropriate steps have been taken to secure it. The internet is not completely secure, and your data may be at risk of compromise during transmission or while being stored or processed on your devices and our servers. We recommend that you use a secure password which you have not used on any other websites, and we recommend that you employ good computer security practices to protect your devices and networks.

We have put in place procedures to handle any suspected Personal Data breach and we will notify you and any applicable regulator of a breach where we are legally required to do so.
    1. Data Retention

We will only retain your Personal Data for as long as is necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements.

To determine the appropriate retention period for Personal Data, we consider the amount, nature, and sensitivity of the Personal Data, the potential risk of harm from unauthorised use or disclosure of your personal data, the purposes for which we process your personal data and whether we can achieve those purposes through other means, and the applicable legal requirements.

By law we have to keep basic information about our customers (including Contact, Identity, Financial and Transaction Data) for 7 years after they cease being customers for tax purposes.

In some circumstances you can ask us to delete your data: see request erasure below for further information.

In some circumstances we may anonymise your Personal Data (so that it can no longer be associated with you) for research or statistical purposes in which case we may use this information indefinitely without further notice to you.

Your Personal Data will be securely deleted when we no longer have a legitimate basis to retain it.

    1. Information that we may request

We may need to request specific information from you to help us confirm your identity and ensure your right to access your personal data (or to exercise any of your other rights). This is a security measure to ensure that personal data is not disclosed to any person who has no right to receive it. We may also contact you to ask you for further information in relation to your request to speed up our response.
